Internet Safety in the Workplace gives advice for employers and employees on how to use technology to protect customer and client data while maintaining effective work environment.  It also includes recommendations on policies and standards.  This can be divided into 2 parts – training for the business’ leadership and training for the employees.

Tip of the Month – Backing Up Your Data: Burnable CD vs. External Hard Drive

For some of us it seems that the easiest way to back up data from your hard drive is to just burn it to a CD.  What a lot of people don’t realize is that burnable CDs are not the best for long term storage.  Unlike manufactured CDs that are pressed, burnable CDs use a process that can degrade depending on several factors.  Some studies have shown that CDs last between 2 and 6 years before degradation occurs.  Instead of burning to a CD, we recommend using an external hard drive.

External hard drives have significantly improved over the past few years in 4 ways.  One, many models no longer need an external power cord.  They are powered by the USB port they plug into on the PC or laptop.  Two, the data transfer rates have improved.  A typical PC hard drive with 100 GBs of data can be backed up in incrementally each day in about 90 minutes.  Three, the software has improved so everything can be setup to automatically back up and only new files or files that have been changed.  This saves a significant amount of time.  Finally, even though the storage space has significantly increased, the physical size has shrunk leaving you with a very portable storage device.

Make sure you back up your data often.  If you use your computer often, you should set up your computer to back up automatically every day, preferably when it is not in use.  Some programs have a setting so that after it completes the backup it shuts the computer down.  It can be set up so that the PC is backed up right after you go to bed and it will take care of the rest.  So if your computer breaks, you’ll be able to recover your files easily.  And if you have to leave your house for an emergency, such as evacuating from a hurricane, you will be comforted that you at least have those precious photos as you grab the hard drive and slip it in your pocket.
